Retraction, Withdrawal, & Correction (R-W-C) Policy

Policy Statement

We understand that authors work carefully in preparing manuscripts, and our peer-review process is designed to maintain high scientific standards. However, published articles may sometimes need to be corrected, retracted, or even deleted for academic, technical, or legal reasons. Such actions are never taken lightly and occur only under extraordinary circumstances.

Jurnal Surya Informatika is committed to executing corrections, clarifications, retractions, and apologies with strict adherence to the guidelines of the Committee on Publication Ethics (COPE) to preserve the accuracy, integrity, and authority of its scholarly electronic archives for researchers, authors, and librarians worldwide.

Article Retraction

Jurnal Surya Informatika is committed to maintaining the integrity of the scholarly record; therefore, on occasion, it is necessary to retract articles. Articles may be retracted if:

  • There is a major scientific, algorithmic, or experimental error that invalidates the conclusions of the article (e.g., clear evidence that findings, datasets, or code implementations are unreliable due to misconduct such as data fabrication/falsification or honest errors such as miscalculation);

  • The findings have previously been published elsewhere without proper cross-referencing, permission, or justification (i.e., cases of redundant or duplicate publication);

  • There are severe ethical violations, including plagiarism (appropriation of another person's ideas, algorithms, code, results, or text without appropriate credit), undisclosed major conflicts of interest, or improper authorship practices.

To ensure retractions are handled according to publication best practices and COPE guidelines, Jurnal Surya Informatika adopts the following retraction process:

  1. An article requiring potential retraction is brought to the attention of the Editor-in-Chief.

  2. The Editor-in-Chief follows COPE flowcharts to conduct a formal evaluation, which includes requesting clarification, underlying data, or source code from the corresponding author.

  3. Before final action is taken, the editor's findings are reviewed by the Editorial Board and Ethics Committee to ensure consistency and fairness.

  4. The final decision is formally communicated to the author(s) and, if necessary, their affiliated institution or funding agency.

  5. A formal Retraction Statement is published online, assigned a DOI, and linked to the original published manuscript in the next available issue.

Note: While authors retain copyright under the CC BY-NC 4.0 license, this does not grant an automatic right to retract an article post-publication if the scientific integrity of the work is compromised.

Article Withdrawal

Authors are strongly discouraged from withdrawing submitted manuscripts. The peer-review and publication process involves significant time, effort, and resources dedicated by academic editors and peer reviewers. Before submission through the Online Journal System (OJS), authors must confirm and agree to the submission checklist.

  • Withdrawal During Review: If an author requests a manuscript withdrawal while it is under peer review or after acceptance without a valid scientific justification, an official withdrawal request signed by the corresponding author and the head of their institution/department must be submitted to the Editor-in-Chief.

  • Administrative Sanctions: Unjustified or arbitrary withdrawals after acceptance or during late production stages constitute a violation of editorial resources. Authors who engage in unethical withdrawals may face administrative sanctions, including a 1 to 3-year submission ban for all co-authors at Jurnal Surya Informatika.

  • Articles in Press Withdrawal: If an article published as an "Article in Press" contains major errors, accidental duplicate submissions, or ethical violations (e.g., fraudulent data or bogus authorship claims), it may be withdrawn by the journal. Withdrawing means the article content (HTML and PDF) is replaced with a single notice stating that the manuscript has been withdrawn.

Article Correction

Jurnal Surya Informatika will issue a formal correction if a small part of an otherwise reliable publication reports flawed data, minor algorithmic errors, or proves to be misleading, provided it is the result of an honest error.

Corrections to peer-reviewed content fall into three categories:

  1. Publisher Correction (Erratum): Issued to notify readers of a significant error introduced by publishing or layout staff during production that affects the clarity, accuracy, or scientific integrity of the article.

  2. Author Correction (Corrigendum): Issued to notify readers of an important error made by the authors (e.g., mislabeled table/figure, minor calculation or code error, missing funding statement, or omitted contributor) that does not invalidate the study's overall conclusions.

  3. Addendum: An addition provided by the authors to clarify inconsistencies, expand upon existing work, or provide necessary updates to the main text.

The final decision regarding the issuance and classification of a correction rests with the Editor-in-Chief. Handling editors will contact the authors for clarification prior to publication.

Article Removal

In extremely limited cases, it may be necessary to remove a published article from the online platform. This occurs only if:

  • The article is clearly defamatory or infringes upon third-party legal/intellectual property rights;

  • The article is subject to a formal court order; or

  • The published technology, software, or code poses severe cybersecurity, privacy, or operational risks to public systems if implemented.

In such circumstances, the article's metadata (title, author affiliations, and abstract) will be retained, but the full text (HTML and PDF) will be replaced with a screen stating that the article has been removed for legal or safety reasons.

Article Replacement

In cases where a published system, software model, or computational method contains critical flaws that could pose significant cybersecurity or operational risks if acted upon in real-world environments, the authors may request to retract the flawed original version and replace it with a corrected, re-tested version. Under such circumstances, standard retraction procedures will be followed, with the retraction notice containing a direct link to the newly published, corrected article along with a transparent document revision history.
